The first impression you make on a new client isn't your portfolio – it's how smoothly you bring them on board. A professional onboarding process builds trust, sets expectations and protects both sides.

Why Onboarding Matters for Creatives
Creative work involves subjective judgments, evolving briefs and intangible deliverables. A strong onboarding process is your first line of defence against scope creep, payment disputes, IP arguments and the dreaded "that's not what I asked for."
The Five Steps
Step 1: Discovery and Qualification
Before you quote, understand what the client actually needs. A discovery call covering objectives, budget, timeline and decision-making process helps you assess fit.
Step 2: Written Brief or Proposal
Turn the conversation into a written document. Never start work based on a verbal conversation alone.
Step 3: Scope of Work
Get specific. The SoW sets out services, deliverables, revision rounds, client responsibilities, fees and payment schedule. This is your most powerful tool against scope creep.
Step 4: Terms of Business
Your terms cover IP ownership, change control, payment terms, confidentiality, liability caps and termination. Understand who actually owns the logo – and why your IP clause matters.
Step 5: Confirmation and Kick-Off
Once confirmed, send a kick-off email naming contacts, listing assets needed, and attaching signed documents.
What Happens When You Skip This
Without documented onboarding: the brief changes repeatedly with no SoW to point to, deliverables get disputed, IP gets shared without permission, and clients ghost on final invoices. Know what to do if a client ghosts on the final invoice.
